Keeping your boiler paperwork organised

Manuals and appointment notes have a habit of ending up in different drawers, inboxes and phone folders. Giving your heating paperwork one home makes it easier to find when you need it.

Choose a system you will actually use

A labelled paper folder works well if you prefer printed documents. If you keep everything digitally, choose one folder with a clear name and use the same place for each new document.

You can use both: keep the originals together and save a digital copy for convenience.

What to keep together

  • Product manuals and control instructions.
  • Installation and handover paperwork.
  • Service records and appointment notes.
  • Written quotations and records of agreed work.
  • The contact details of the business you use.

Use clear file names

A date followed by a short description is usually enough. For example, a file called “2026-10-service-record” is easier to recognise than an automatically generated scan name.

Make updating it a small habit

When new paperwork arrives, add it to the folder before putting it to one side. If another member of your household handles appointments, let them know where the information is stored.

The aim is simply to make the next appointment easier to organise, without having to search through a year of emails first.
